Context

Many Nigerian small and medium–sized businesses lack easy access to working capital, struggle with manual payroll runs, and have no unified system for approving employee advance requests. Earnipay Business was created to give employers a single, intuitive portal for credit, approvals, payroll processing, and account management.

Background

Traditional payroll platforms often require separate tools for credit lines, expense tracking, and approvals. Employers end up juggling spreadsheets, bank portals, and paper requests—leading to slow payouts, errors, and low visibility. Earnipay Business set out to consolidate these functions into one web dashboard, so businesses could manage every aspect of staff advances and payroll in one place.

Core Problem

Businesses faced four key challenges:

  1. No Access to Credit: Unable to offer on-demand cash to employees.

  2. Cumbersome Approvals: Manual, email- or spreadsheet-based sign-off processes.

  3. Complex Payroll Runs: Payroll cycles took days and were prone to errors.

  4. Mixed Accounts: One account for all transactions—no way to segregate expenses or collections.

Pain Points

  1. Working Capital Gaps: Staff couldn’t get quick advances when needed.

Approach

  1. Feature Design

    • Credit Line Module: Let businesses set and track an internal credit facility for staff advances.

    • Approval Workflows: Built a drag-and-drop flow designer so managers could configure multi-level sign-offs.

    • Payroll Engine: Automated salary runs with built-in checks, scheduling, and bank integrations.

    • Sub-Accounts: Enabled creation of “Expense” (spend + receive) and “Collection” (receive-only) accounts per department or project.


  2. Prototyping & Testing

    • Developed low-fidelity flows and high-fidelity UI mockups.

    • Ran usability tests with five pilot companies—iterated on confusing terminology and streamlined steps.


  3. Visual & Interaction

    • Adopted a clean, business-focused UI: structured grids, clear icons, and a calming teal palette.

    • Added real-time status badges and in-line help tooltips for every module.


  4. Implementation & Roll-Out

    • Collaborated closely with engineers in an Agile two-sprint build cycle.

    • Conducted training webinars and created in-app walkthroughs for early adopters.

Results & Impact

  1. Payroll Time ↓ 80%: Runs went from 3 days to under 2 hours.

  2. Approval Turnaround ↓ 60%: Managers completed requests in under 30 minutes on average.

  3. Sub-Account Adoption → 85% of pilot businesses segregating expenses by department.
